*Assistant Account Executive

Ewald Consulting has an exciting employment opportunity for an Assistant Account Executive. The Assistant Account Executive will be responsible for the day-to-day operational execution for several professional associations.  This position works closely with the client Account Executive, client volunteers and internal team to help our clients meet their strategic goals.  As part of a growing company, we encourage applications from individuals who want to be difference-makers and help us fulfill on Ewald Consulting’s mission: Serving at the intersection of business, government and society to improve industries and professions.

Primary Duties & Responsibilities

  • Assist the Executive Director in all areas of Association Management for the client
  • Act as secondary liaison between client organizations (Board, Volunteers, Committees) and internal client team
  • Manage specific strategic initiatives working with Board of Directors in areas such as member value, member benefits, revenue diversification, benchmarking, strategic programs and customer intelligence programs
  • Prepare and manage client financial budgets; ensure adherence to budget guidelines and objectives
  • Prepare and present status reports and dashboards to track organizational progress, offer solutions to enhance probabilities for success
  • Encourage and assist volunteer leaders, assist client boards in recruiting talent to board and committee work and manage volunteer programs
  • Daily communication with staff, members, board members, sponsors and committee members
  • Strong ability to support volunteer members and partner sponsors to drive a strong sense of community and collaboration
  • Identify and develop candidates for board and committees, recruit, interview and on-board candidates to board positions to ensure smooth transitions

Knowledge and skills

Account Executive

Ewald Consulting has an opportunity available for an Account Executive to serve with the title of Executive Director for our clients. The Account Executive will be responsible for the overall management for professional association(s) and ensuring contractual obligations are fulfilled to meet or exceed client expectations.  This includes providing leadership for the client(s) and management of internal client teams to coordinate the related activities: events, accounting, marketing, sales, membership, professional development, information technology, and communications. 

Primary Duties & Responsibilities

Supervisory responsibilities

Knowledge and skills
We are looking for a candidate with demonstrated experience, personal attributes and a track record of success that includes:

  • Leading the growth of a diverse and dynamic organization in an executive role with accountability to the Board of Directors, ideally with direct experience in the public and/or nonprofit sector.
  • Developing and executing strategic and operations plans, financial management and budgeting experience. Managing effective and efficient operations, member-centric programs and projects. Ability to set appropriate goals and outcomes.
  • Managing communications for public relations, certification, online learning, conferences and networking activities. Strong oral and written communication skills.
  • Managing complex relationships and the ability to identify and articulate a strong membership value proposition.
  • Experience as an association executive, board member and/or experience in a role with accountability to a volunteer board.
  • Demonstrated organizational and leadership experience working in a team environment

*Communication Specialist, Design Emphasis

A person in this position works on our client associations communication strategy, branding and marketing by planning, producing and distributing electronic and print communication materials; Strong graphic design, website management, usability, attention to detail, an ability to take direction and follow instruction, and software skills required. Must have the ability to prioritize and balance multiple priorities. Three to five years of experience.

Essential functions and responsibilities:

  • Produce electronic and printed communications for emails and newsletters for client associations.
  • Design and layout of .html newsletters and printed newsletters; designing or redesigning newsletter templates for new and existing clients; and designing ads (electronic and/or print) for internal or external advertisers.
  • Update, enhance and design client web sites for usability.
  • Choosing photos, illustrations, colors, typography and layout
  • Creating illustrations, logos and other graphics for print and online publications
  • Proficient use of Adobe Creative Suite to execute designs
  • Plan and produce electronic and printed materials for association events and conventions.
  • Projects may include design and layout of multi-page registration brochures to market seminars, trade shows and conventions; smaller flyers to announce one-day events; e-marketing of events; and design and layout of on-site materials.
  • Produce electronic and printed membership brochures/applications, marketing/promotional materials, and other print and electronic communication pieces.
  • Mobile apps set up using a content management system
  • Social media facilitation and measurement
  • Search Engine Optimization measurement and tasks
  • Writing and/or editing articles
  • Proofreading and attention to detail a must

Knowledge and skills:

  • Expertise in using HTML/Dreamweaver, InDesign, Adobe Photoshop, Adobe Illustrator, Microsoft Word, social media platforms, content management systems, search engine optimization measurement, e-mail marketing on a Macintosh platform is required. Experience in website design and usability a must.
  • Good organizational/project management skills are required; this person must balance competing projects on tight deadlines.
  • Strong customer service and positive attitude a must.
  • Good interpersonal communication skills are required; this person must work closely with a cross-department group of employees, with other department employees, clients and volunteers.
  • Basic knowledge of printing and digital processes is required; additional knowledge is helpful.
  • Degree in communication, web design, graphic design, public relations, marketing, journalism or related program is preferable.

Database Administrative Assistants (15-30 hours per week)

Ewald Consulting is looking for Database Administrative Assistants for entry of data entry projects including deduping, maintain database integrity and data entry. Good typing skills and knowledge of Excel is important.

Reports to: Vice President of Communication & Technology
Works with: Vice President of Finance and Database Director

Responsibilities:

Data Gathering and Entry Support:

  1. Enter constituent data for all individuals and organizations, including address updates, constituent demographics, and relationship links.
  2. Maintain databases by merging and deduping records
  3. Enter returned mail address corrections or other such change of address notification.
  4. Maintain records
  5. Assist with research for update of businesses information, including contact persons for "Primary Contact" for businesses.
  6. Accurately and efficiently record data
  7. Execute annual database clean-up activity with all program components of the Fund
  8. Good working knowledge of excel

Requirements

  1. Strong attention to detail, accuracy, and dependability
  2. Ability to manage multiple projects simultaneously while meeting deadlines
  3. High level of typing accuracy and speed
  4. Proficient in Internet research/navigation and Microsoft Office suite

Professional Development Specialist

Ewald Consulting has a position for our St. Paul office. The Ewald Consulting Professional Development Department focuses on delivering learning experiences that create outcomes and impact performance for our association clients. The Department enables the delivery of educational content based on adult learning principles, learning styles, brain science, accelerated methodologies and blended learning.

From in-depth programs to micro learning, the Ewald Consulting Professional Development Department provides expertise and solutions specific to association programs that are designed for continuing education, certification and workforce learning and performance. With a focus on innovative delivery methods, our team works with subject-matter experts to leverage analysis, design, assessment, implementation and evaluation to help your association serve as the preferred source of professional development in your industry.

The Professional Development Specialist works with association clients to develop education/training programs and CEU offerings.

Key Responsibilities:

1. Work with staff teams and volunteers/committees to plan, implement and market education, seminars and CEUs programs;
2. Schedule facilities for professional development programs for our association clients in consultation with the appropriate decision makers including site selection and meeting planning activities;
3. Help with selection of host sites, negotiate with site for costs, and review contracts;
4. Provide logistical support for in-person PD programs and processes;
5. Work with host site on event details: room set-up, counts, A/V equipment, meal selection or refreshments, signage, etc.;
6. Serve as on-site contact for event, oversee set-up and registration;
7. Complete and/or coordinate follow-up tasks to programs including reviewing all invoices for approval, summarize evaluations, P & L statement for each program;
8. Send thank-you communications to speakers, sponsors, etc.;
9. Prepare budgets for professional development programs;
10. Serve as staff for association committees as assigned.
11. Coordinate client CE credit applications processes for association clients;
12. Provide support for Ewald Conference Center, including room set-up, coffee/refreshments and other duties as assigned.

Qualifications:

1. Experience/education in meeting planning and continuing education;
2. Strong project management and customer service skills;
3. Strong attention to detail;
4. Ability to work within a collaborative environment with staff and volunteers;
5. Ability to multi-task and prioritize;
6. Ability to communicate effectively with various collaborators with different working styles;

Meeting Event Planner

Our Meeting Planning Department provides convention, event, and trade show management worldwide through the expertise of our meeting professionals, who manage every facet and detail of our client organizations' events. Our goal is to work closely with a client organization's leaders to create an enjoyable conference experience for all attendees, exhibitors, and sponsors, while ensuring a successful outcome based on the organization’s event objectives.

Job Duties: This position is part of the Meeting Planning team, responsible for all activities related to event planning for state and/or national associations. The ideal candidate must demonstrate the ability to multi-task and be responsive to customer needs. The Meeting Planner will report directly to the VP, Meeting and Event Development.

Responsibilities include:

  • Generate RFPs, manage site selection process and negotiate contracts.
  • Manage assigned projects in the area of meeting/event planning for a variety of meetings, conferences and workshops.
  • Develop and track budgets to ensure revenue and expenses are kept within established boundaries and reconcile event invoices.
  • Ensure all logistical details including room set-up, audio/visual, transportation, housing, and food and beverage for meetings are planned effectively.
  • Participate in contract negotiations and evaluations with a variety of vendors for meetings.
  • Participate in the strategic planning meetings for all meetings and events to ensure continual improvement.
  • Monitor and meet timelines and tight deadlines for multiple events.
  • Establish, develop, and maintain good relationships with clients and suppliers.
  • On-site management.
  • Other duties as necessary to contribute to the overall success of the association and company.
  • Share best practices of successful programs from previous experience.
  • Manage sponsorship program and silent auctions with volunteers.
  • Handle all speaker confirmations, reimbursements, travel, room, etc.
  • Work with internal staff to provide registration content.

Volunteer Interaction

  • Consult with volunteers using a strategic approach to determine meeting purpose/objective. Based on objectives identified, design, plan, and execute the program.
  • Work directly with committees to develop and finalize program format, agenda, topics, speakers, entertainment and special events.
  • Manage multiple meetings and projects simultaneously while maintaining highest level of client and customer satisfaction.
  • Communicate proactively with volunteers on an ongoing basis to manage expectations and to lead program work.

Vendor Management

  • Lead volunteers in the identification and sourcing of any third-party goods and/or services.
  • Draft and distribute necessary RFPs (DMC, entertainment, etc.).
  • Negotiate pricing and contract terms and conditions with suppliers/vendors to secure best possible value for goods and/or services. This includes all vendor contracts (DMC, hotel, production/audio/visual companies, entertainment agencies etc.) Planner will also be responsible for identifying cost savings and program recommendations to internal client.

Budget Management

  • Draft line-item budget and track and manage program finances monthly.
  • Audit invoices and provide cost-benefit analysis report included in the post-event report that identifies actual meeting expenditures as well as cost savings achieved as well as overall planner program recommendations.
  • Reconcile budget to actual at conclusion of program.

Required Qualifications & Experience

  • Bachelor’s degree (minimum).
  • Strong writing, communication, and relationship management skills.
  • Strong organizational and multitasking skills.
  • Minimum of two to four years of meeting planning experience.
  • Ability to work in a fast-paced environment.
  • Concurrent management of national, regional, or local meetings.
  • Contract negotiations with venues and vendors.
  • Proficiency in Microsoft Word and Excel (minimum).
  • Availability to travel to locally and nationally.
  • Availability to work evenings and weekends and in excess of 40 hours per week regularly; Travel: 20-30%.
  • "Certified Meeting Professional" designation preferred or interest in pursuing.

Events Department Intern

  • Coordinate arrangements with presenters including: AV needs, travel, hotel and other arrangements.
  • Coordinate correspondence for sponsors and trade shows/exhibitors including confirmations, vendor arrangements and tracking paperwork required for exhibitors and sponsors.
  • As requested, assist with onsite management of events.
  • Coordinate packing and shipping of items to events.
  • Order promotional items and plaques (awards) for events.

Knowledge and skills:

  • Excellent phone skills and willingness to make follow-up calls to sponsors, speakers, etc.
