Account Executive

Ewald Consulting has an opportunity available for an Account Executive to serve with the title of Executive Director for our clients. The Account Executive will be responsible for the overall management for professional association(s) and ensuring contractual obligations are fulfilled to meet or exceed client expectations. This includes providing leadership for the client(s) and management of internal client teams to coordinate the related activities: events, accounting, marketing, sales, membership, professional development, information technology, and communications.

Primary Duties & Responsibilities

  • Serve as primary liaison between client organizations (board, volunteers, committees) and internal client team
  • Manage specific strategic initiatives working with the Board of Trustees in areas such as member value, member benefits, revenue diversification, certification, conference, and strategic programs
  • Create and manage an annual operations plan that guides the association(s) activities toward attainment of strategic goals
  • Prepare and manage client financial performance; ensure adherence to budget guidelines and objectives
  • Prepare and present status reports and dashboards to track organizational progress, offer solutions to enhance client success
  • Encourage and assist volunteer leaders, assist board in recruiting talent to volunteer leadership positions and manage volunteer programs
  • Daily communication with staff, members, board members, sponsors and committee members
  • Strong ability to support volunteer members and partner sponsors to drive a strong sense of community and collaboration

Supervisory Responsibilities

Knowledge and Skills

We are looking for a candidate with demonstrated experience, personal attributes and a track record of success that includes:

  • Leading the growth of a diverse and dynamic organization in an executive role with accountability to the Board of Directors, ideally with direct experience in the public and/or nonprofit sector.
  • Developing and executing strategic and operations plans, financial management and budgeting experience. Managing effective and efficient operations, member-centric programs and projects. Ability to set appropriate goals and outcomes.
  • Managing communications for public relations, certification, online learning, conferences and networking activities. Strong oral and written communication skills.

Assistant Account Executive

Communication Specialist, Design Emphasis

A person in this position works on our client associations communication strategy, branding and marketing by planning, producing and distributing electronic and print communication materials; Strong graphic design, website management, usability, attention to detail, an ability to take direction and follow instruction, and software skills required. Must have the ability to prioritize and balance multiple priorities. Three to five years of experience.

Roles and Responsibilities

  • Produce electronic and printed communications for emails and newsletters for client associations.
  • Design and layout of .html newsletters and printed newsletters; designing or redesigning newsletter templates for new and existing clients; and designing ads (electronic and/or print) for internal or external advertisers.
  • Update, enhance and design client web sites for usability.
  • Choosing photos, illustrations, colors, typography and layout
  • Creating illustrations, logos and other graphics for print and online publications
  • Proficient use of Adobe Creative Suite to execute designs
  • Plan and produce electronic and printed materials for association events and conventions.
  • Projects may include design and layout of multi-page registration brochures to market seminars, trade shows and conventions; smaller flyers to announce one-day events; e-marketing of events; and design and layout of on-site materials.

Knowledge and Skills

Digital Marketing Specialist

Ewald Consulting has an exciting opportunity for a Digital Marketing Specialist to join our Communications and Technology team. The digital marketing specialist will work across multiple digital media platforms (both organic and paid) to create and execute digital marketing strategies on behalf of our clients. This position is responsible for digital marketing strategies that drive client growth and engagement and increases attendance at conferences and events, with a focus on programs and content development marketing strategies. 

Roles and Responsibilities

Strategic Development

  • Develop digital marketing strategies and tactics in order to meet client goals for website marketing
  • Drive growth and engagement on social channels through social listening and measurement, content creation, and execution
  • Develop and implement strategies and execution including keyword research and analysis for effective content development and SEO
  • Work with the marketing communication team to develop and execute marketing communication plans with emphasis on measurable multichannel digital marketing initiatives that drive results
  • Ongoing analysis to identify trends and insights from analytic tools to drive content marketing strategies to enhance the onsite SEO
  • Analyze online trends and leverage site statistics and performance to influence digital strategy and roadmap

Project Management

  • Analyze, review and communicate recommendations to communication specialists to update websites so they are consistently optimized for search engines and SEO is kept up to best practices
  • Ongoing monitoring and recommendations for SEO of client websites based on analytics data
  • Conduct technical website audits and create a summary and plan of action to improve performance
  • Conduct content and social media audits and create a summary and plan of action to improve performance
  • Lead CRO (conversion rate optimization) efforts including A/B email testing, marketing copy optimization and segmentation
  • Support website performance, content strategy and social media planning strategies
  • Perform ongoing keyword research including discovery and expansion of keyword opportunities
  • Review and optimization strategies for the content/marketing copy and landing pages to ensure each is up to best practices
  • Research and implement content recommendations for organic SEO to ensure increased online visibility as well as user engagement ongoing
  • Create recommendations for sitemaps and site architecture for the best possible user experience (UX)

Required Qualifications and Education

  • 3+ years of digital analytics experience

Event Coordinator

Ewald Consulting has an exciting employment opportunity for an Event Manager position. Ewald Consulting plans over 200 conferences and professional development programs each year. To that end, the Event Coordinator is an important member of our Event Management team. The Event Coordinator serves as a centralized hub of activity and support for our team of Event Managers who are responsible for guiding their clients to achieve all event-related goals. While not directly responsible for the health of client relationships, the Event Coordinator serves all of our association management clients through the logistics, planning and support they provide to the Event Management team. This role is crucial to the continuous process improvement of the teams’ daily execution and delivery.

Role and Responsibilities

The Event Coordinator’s daily activities support all Event Managers and all clients. This role is designed to manage the team’s standard work across clients so that Event Managers are free to constantly strive for the next level of quality event experiences. It is critical that the work is executed with efficiency and standardization.

As client relationships, expectations, and timelines of events, meetings, and conferences change; the Event Coordinator’s role changes and work is re-prioritized. The streamlined process and execution of the categories summarized next allows for the timely execution of work in times of change. The ability to identify necessary changes, adjust processes and execute seamlessly is a critical requirement of this role.

Event Coordination and Preparation

  • Manage the ordering of supplies such as bags, lanyards, ribbons, name badges, etc.
  • Solicit quotes from various vendors on services such as transportation, speakers, entertainment, audio/visual, printing, etc.
  • Coordinate packing and shipping for all supplies needed on site. Priority given to national and international conference events.
  • Production of onsite communication materials – program book, session materials, signage
  • Preparation of conference evaluation materials

Speaker Coordination

  • Manage speaker confirmation process which includes – sending speaker confirmation letters, collecting speaker bios and presentation information, gathering presentations, etc.
  • Compiles speaker proposals (Call for Proposals process) received by speakers for events and prepares for client committee review
  • Manage communication process related to confirmations including fielding questions, sending reminders, and tracking information received/not received
  • Work directly with internal Communication department to prepare the above information for event-related communication materials
  • Prepares information kits for onsite session hosts

Exhibitor and Sponsor Coordination

  • Manage exhibitor confirmation process which includes – sending exhibitor confirmation letters, collecting exhibitor representative names, preparing exhibitor kits for onsite event use, etc.
  • Manage communication process related to confirmations including fielding questions, sending reminders, and tracking information received/not received
  • Manage fulfillment of sponsorship benefits for non-sales contracted clients – including collecting company logos and advertisements for printed pieces, confirming podium time, ordering special product (lanyards, bags, key cards), booth/table assignments

Communications and Reporting

  • Serve as liaison for registration related questions – critical around registration launch for a client
  • Provide assistance proofing marketing and communication materials for events (I.e.: registration brochure and sponsorship prospectus)
  • Manage information in the onsite mobile app which includes – updating profiles of attendees, exhibitors, etc. and interfacing with internal communication department on items specific to client usage of app
  • Oversee all bulk communications related to speakers, exhibitors, room hosts, vendors, etc.
  • Prepare and distribute weekly reports as defined by client. Including, but not limited to, attendee, speaker, exhibitor and sponsor registration
  • Collection and summarization of conference evaluation results

Required Qualifications and Education

  • Bachelor’s degree in Event Management, General Business, or related industry
  • 1 - 3 years of experience in an event coordination role or industry
  • 1 - 3 years of experience in a client-service related role or industry
  • Excellent customer service presence and mindset
  • Strong organizational and interpersonal skills
  • Ability to multi-task in a fast-paced working environment

  • Works directly (and often directs work) with client members and volunteers to develop and finalize event formats, agendas, topics, speakers, exhibit halls and entertainment
  • Communicates frequently with volunteers to direct event-related work and manage expectations
  • Handles numerous client requests, concerns, questions daily

Project Management

  • Manage all aspects of assigned client events, meetings, workshops and/or conferences
  • Ensure all logistical details (including room set-up, audio visual, transportation, housing, and food and beverage etc.) are entered, monitored daily and completed using our internal project management software

Budget Management

  • Draft line item budgets for client events
  • Track and manage event finances monthly
  • Provide post-event cost benefit analysis and event improvement recommendations
  • Reconcile budget to actual at conclusion of events

Vendor Management and Relations

  • Builds and maintains relationships with vendor representatives – including, but not limited to, production/AV companies, food and beverage companies, entertainment agencies, etc.
  • Builds and maintains relationships with venue/site representatives - including, but not limited to hotels, event centers, CVB’s, DMC’s, etc.
  • Draft and distribute necessary Request for Proposals (RFPs)
  • Negotiates pricing and contract terms with vendors and venues to secure best possible value for our clients

Required Qualifications and Education

  • Bachelor’s degree in Event Management or related industry

Membership Specialist

Professional Development Specialist

Ewald Consulting has a position for our St. Paul office. The Ewald Consulting Professional Development Department focuses on delivering learning experiences that create outcomes and impact performance for our association clients. The Department enables the delivery of educational content based on adult learning principles, learning styles, brain science, accelerated methodologies and blended learning.

From in-depth programs to micro learning, the Ewald Consulting Professional Development Department provides expertise and solutions specific to association programs that are designed for continuing education, certification and workforce learning and performance. With a focus on innovative delivery methods, our team works with subject-matter experts to leverage analysis, design, assessment, implementation and evaluation to help your association serve as the preferred source of professional development in your industry.

The Professional Development Specialist works with association clients to develop education/training programs and CEU offerings.

Key Responsibilities

1. Work with staff teams and volunteers/committees to plan, implement and market education, seminars and CEUs programs;
2. Schedule facilities for professional development programs for our association clients in consultation with the appropriate decision makers including site selection and meeting planning activities;
3. Help with selection of host sites, negotiate with site for costs, and review contracts;
4. Provide logistical support for in-person PD programs and processes;
5. Work with host site on event details: room set-up, counts, A/V equipment, meal selection or refreshments, signage, etc.;
6. Serve as on-site contact for event, oversee set-up and registration;
7. Complete and/or coordinate follow-up tasks to programs including reviewing all invoices for approval, summarize evaluations, P & L statement for each program;
8. Send thank-you communications to speakers, sponsors, etc.;
9. Prepare budgets for professional development programs;
10. Serve as staff for association committees as assigned.
11. Coordinate client CE credit applications processes for association clients;
12. Provide support for Ewald Conference Center, including room set-up, coffee/refreshments and other duties as assigned.

Qualifications

1. Experience/education in meeting planning and continuing education;
2. Strong project management and customer service skills;
3. Strong attention to detail;
4. Ability to work within a collaborative environment with staff and volunteers;
5. Ability to multi-task and prioritize;
6. Ability to communicate effectively with various collaborators with different working styles;

Events Department Assistant

Primary Duties and Responsibilities

Assist events staff team members to manage and coordinate meetings, conferences, trade shows and events for various associations. Flexible part-time schedule; hours may vary depending upon event schedules. On occasion, may require evening and weekend work hours.

  • Coordinate arrangements with presenters including: AV needs, travel, hotel and other arrangements.
  • Coordinate correspondence for sponsors and trade shows/exhibitors including confirmations, vendor arrangements and tracking paperwork required for exhibitors and sponsors.
  • As requested, assist with onsite management of events.
  • Coordinate packing and shipping of items to events.
  • Order promotional items and plaques (awards) for events.

Knowledge and Skills

  • Must have excellent organizational skills
  • Strong communication skills (oral and written)
  • Proficient in Microsoft Office, including Word, Outlook, Excel and Power Point

Flex Events Team

Ewald Consulting is seeking Flex Staff to assist in Professional Development and Event Management. Ewald Consulting plans over 200 conferences and professional development programs each year. Hosting these events and educational sessions often requires an extra set of hands. This work could occur onsite during the event or in our offices before and after to assist with multiple tasks. We are always looking to add Flex Staff Team Members to our talented pool of event professionals. This is a part-time, hourly position with a lot of flexibility. Primary Duties and Responsibilities

Our Flex Staff Team has two primary areas of focus – onsite event hosting and in-office event support and administration.

Onsite Flex Staff
Responsibilities onsite may include, but are not limited to:

  • Pick up event materials from Ewald office in St. Paul
  • Set-up and manage event registration desk
  • Assist speaker/presenter/facilitator in set-up; includes A/V, materials distribution, etc.
  • Coordinate food and beverage with facility staff, if applicable
  • Clean-up post-event
  • Return event materials to Ewald office in St. Paul

In-Office Flex Staff
Responsibilities in the office may include, but are not limited to:

  • Prepare event name badges
  • Coordinate arrangements with speaker/presenter/facilitator including: A/V needs, travel, hotel
  • Packing and shipping of event-related materials
  • Ordering and management of awards and promotional items
  • Manage office supply inventory for events and education sessions
  • Printing of events related materials – educational and otherwise
  • Unpack and organize supplies post-event
  • Manage speaker/presenter/facilitator and exhibitor data and correspondence

Coordinate post-education items such as collecting and compiling evaluation data, preparing certificates, processing continuing education credit.

Required Qualifications and Education

  • Experience in a client-service related role or industry
  • Excellent customer service presence and mindset
  • Strong organizational skills
  • A team-player mentality
  • Flexible, patient and calm working demeanor
  • Working knowledge of Microsoft Office suite

Knowledge and Skills

  • Experience adding, updating, and reporting information in database applications
  • Comfort in troubleshooting A/V set up and issues

  • Comfort traveling via own vehicle to locations around the Twin Cities metropolitan area and potentially other cities in Minnesota (Mileage is reimbursable)
  • Flexible work schedule; hours vary depending upon event schedules
